PAIA manual

Manual in terms of section 51 of the Promotion of Access to Information Act, 2000 (PAIA).

Our full manual is being finalised with legal counsel. In the meantime, this sets out who we are, what we hold, and how to request access to a record.

Who we are

Watchly is a compliance and payroll platform for security firms. Our Information Officer is the head of the business. The registered legal-entity name, registration number and address are being finalised and are available on request. Access requests and privacy questions can be emailed to us at info@watchly.co.za.

Records we hold

By category: account and user records for the firms that sign up; for a firm’s people, identity and contact details, competency and compliance records, rostering and attendance, and payroll; face-check references where identity verification is used (no facial photograph is stored); health information a firm records, such as a sick note; and operational, security and audit logs. Records required under the Companies Act, the Tax Administration Act and other legislation are also kept where they apply.

How to request access to a record

Complete the prescribed PAIA Form 02 and email it to us at info@watchly.co.za, with proof of identity and the record you are seeking. The prescribed PAIA fees apply, and we respond within the timelines PAIA sets. Access may be refused only on the grounds PAIA allows, including the protection of another person’s information, legal privilege and commercial information.

Your POPIA rights

You may ask to see the personal information we hold about you, correct it, delete it, object to processing, and withdraw a consent you have given. Where a face check has been recorded, consent can be withdrawn at any time — the face-check consent page explains how. Our privacy notice has the full detail of what we do with personal information.

Remedies and the Regulator

You may complain to the Information Regulator (South Africa) at inforeg@inforegulator.org.za, and you may apply to court. This manual is available on this site, on request, and to the Information Regulator on request, and is reviewed regularly.
